Digital conference for ICEC with 4 rooms and interpreters

Just a few years ago, digital conferences or virtual meetings were a rarity. Today, they are an important means in any industry to provide participants from near and far with current research findings and new information. Since participants do not have to travel to a fixed location, digital “quotas” are now sometimes even higher than at a classic face-to-face conference.

Digital conference? Can that work? Of course it can! The German Youth Institute and Stream1 have shown what further training and specialist conferences can look like in the digital age. Modern, appealing and informative! In June, the International Center for Early Childhood Education and Care (ICEC) hosted a symposium on the topic: “An international comparison of the daycare workplace: results of the OECD survey of early childhood education and care professionals.”

For the numerous participants of the virtual conference outside of Germany, a total of four interpreters took turns simultaneously translating the German presentations into English. The reverse procedure applied to the English presentations, which were translated into German. As at times several additional presentations were taking place in parallel, there were a total of 4 conference rooms on our Live Event website, which we had previously set up for the ICEC, from which participants could choose.

Moderation from our Live Studio with Green Screen

And this is how the setting was: The main moderation took place in our Livestream Studio Munich directly at the Ostbahnhof. A few metres from the studio, our technicians in the control room mixed the final image for the live stream from the various camera perspectives.

The slides of the speakers were faded in during the presentations within the stream. The image of the speakers was reduced for the duration of the presentation and integrated as a split screen in the corner – just as you are used to in digital meetings with Microsoft Teams or Zoom.

The interpreters, who followed the live signal and translated simultaneously, sat directly in the next room. The other speakers from the ICEC team were in the second studio, the green screen studio, also with interpreters in the next room. We projected the same background image onto the green screen as in the main moderation studio, so that both studios had the same look.

Our livestream technology at ICEC Stream

A total of 14 LED spotlights hang in our studio – an important prerequisite for an ideally staged presentation of the ICEC conference. No less than 6 HD and 4K cameras ensured razor-sharp images from every perspective. One camera from each studio filmed the moderation from the long shot, another one filmed the moderation in close-up or a little from the side.

Already before the live event, we programmed an individual landing page for the participants, into which the livestream was integrated. On this event website, participants found important information in advance, such as the conference programme incl. schedule, abstracts of the presentations or the CVs of the speakers, as well as access to and from the individual conference rooms. The interactive feature: the audience could submit their own questions about the lectures via an integrated chat function.
